Receptionist/Travel Coordinator

Job Summary:
HCI - integrated solutions is seeking an experienced Receptionist / Travel Coordinator to be a professional first point of contact for our corporate office, coordinate company-wide travel, and directly support and assist the President/CEO.
Duties and Responsibilities:
Managing the administrative needs of the President/CEO.
Scheduling meetings and managing a calendar
Coordinating travel arrangements and preparing travel and expense reports
Drafting letters and correspondence to clients
Ordering office and kitchen supplies
Arranging company events and meetings
Submitting requests for building and facilities maintenance
Providing travel requirements to vendors and gathering information to communicate to travelers in a timely and effective manner - information including, but not limited to, hotel, long-term accommodations, car rental, flight reservations, and per diem rates
Create and maintain daily, weekly, and monthly reports for all contract travel, ensuring accuracy on all reports
Maintaining company travel policies by updating manuals and policy information, as requested, with reference to corporate policies/procedures for travel
Occasional light travel might be required
Preferred Knowledge/Skills/Abilities:
Knowledge & Skills
Demonstrated experience with MS Word, Excel, Outlook and PowerPoint
Administrative office experience such as filing, answering phones, editing documents, making copies, faxing documents
Excellent verbal and written communication skills
Excellent customer service skills
Ability to coordinate all aspects of travel for multiple people
Detail-oriented with good organizational skills
Ability to establish priorities and manage deadlines
Ability to manage a multi-line phone system.
Ability to work cooperatively with all levels of management.
Ability to perform well under pressure in a fast paced environment
Ability to handle sensitive and confidential information
Ability to work independently or with a team
Education
Associates Degree (Bachelor's Degree Preferred)
Experience
1-3 years of experience as a Receptionist and/or Administrative Assistant
Travel Service Industry experience preferred

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
