JOB SUMMARY
The Division Coordinator provides support to the Vice President of Operations and his Direct Reports, while interacting with all levels of staff and management of the Operations Division. The Division Coordinator serves as the department's point of contact and administrative representative. The Division Coordinator will update weekly operating reports and review operating statements as directed.
ESSENTIAL FUNCTIONS
oCoordinate office activities for Vice President. Support Vice President in all duties and activities as directed. Maintain executive's calendar for meetings, calls, appointments, travel, visits to field or operating units. Make travel arrangements and travel agenda.
oPrepare for high level meetings for which the executive's office is responsible; maintain/distribute agendas participate in and help facilitate meetings; follow up on action items.
oAct as information source on departmental operations, policies and client/vendor contracts. Handle confidential and non-routine information. Perform normal office functions such as setting up and maintaining alphabetical, numerical and/or subject files; interviewing callers and making proper referrals; ordering office supplies; and receiving, referring, or answering mail.
oAssist with the preparation of Marketing and New Business Proposals and presentation materials.
oPerform various research and analytical tasks on behalf of the Vice President; verify DM audit work and expense reports; assist with organizing Marketing promotions and getting information/materials to the field.
o Booking and promoting sales for tour groups
oManage the preparation and timely submission of accounting, payroll, benefits administration and other data to the respective departments following prescribed procedures and formats. Assist with processing newly hired employees.
oAssist field as directed by Vice President (e.g., Special Events and New Unit Openings, etc.).
SKILL AND KNOWLEDGE REQUIREMENTS INCLUDE
oHigh School Diploma or GED. Bachelor's Degree or related degree preferred.
oRoutine office management/clerical skills to include typing, filing, maintenance of records, and the ability to undertake multiple tasks simultaneously.
oHigh-level of organizational skills with ability to manage multiple agendas and timelines and keep Vice President prepared and on time.
oComputer proficiency with the ability to utilize MS Word, Excel, Power Point required. PeopleSoft preferred.
o Computerized Maintenance Management System (CMMS)
oDemonstrated talent for interacting with a wide variety of people; ability and desire to learn new skills; ability to problem solve; ability to arrange and coordinate schedules.
oExcellent interpersonal, administrative, telephone and other communications skills.
PHYSICAL AND MENTAL REQUIREMENTS
oAbility to sit at a desk in front of a computer and monitor phones for extended amounts of time for up to 8 hours a day.
oAbility to push, pull, and lift up to 15 lbs.
oReading and writing work-related documents in English.
oConstantly communicates and receives verbal communication with other employees.
oSome basic accounting knowledge.
oSpeech recognition and clarity, including the ability to understand the speech of customers and co-workers, and the ability to speak clearly in English to ensure understanding by customers and co-workers.
oPhysical presence at the job site is essential to perform job duties.
oAbility to work extended hours and weekends when required.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
